The Challenge

Citymapper approached Venue Crew to help source the perfect venue for a company celebration in Central London. The client contact, Francesca Avery, already had experience working within the events industry, which meant she had a clear vision for the type of experience she wanted to create for her team. The brief was for an evening standing reception that felt social, energetic, and memorable — ideally at a rooftop venue with exceptional views or a space that offered a fun and vibrant atmosphere. With more than 200 guests expected to attend, the venue also needed to balance practicality with style, ensuring accessibility for staff travelling from the office while still delivering a premium experience.

Timing was another important factor. The client was working within a relatively tight planning window and needed quick turnaround times on venue options, pricing, and availability. Francesca wanted a streamlined process with minimal stress, while still ensuring the event delivered a strong impact for attendees.

The Outcome

Venue Crew focused on venues that could comfortably accommodate a large-scale standing reception while also delivering a memorable backdrop for the celebration. Rooftop venues with skyline views, strong event support teams, and flexible hospitality packages were prioritised throughout the search.

Wagtail Rooftop Restaurant, Bar & Terrace quickly emerged as the standout choice. The venue ticked every box for the client — from its panoramic London views and stylish interiors to its convenient central location close to the Citymapper office. The venue’s aesthetic perfectly matched the atmosphere Francesca wanted to create: sophisticated yet relaxed, with enough energy to feel like a true celebration.

Practical considerations also made the decision easy. Wagtail offered an excellent wet weather backup option, in-house catering with drinks and canapés, and an experienced events team who assisted with organising a DJ for the evening. The pricing structure was another major advantage, with no venue hire fee required and only a minimum spend commitment, helping the event remain comfortably within budget.

The client, based in Sydney, was unfamiliar with Melbourne venue options and wanted a space that felt private, unique, and more elevated than a standard conference room. As the event date and guest numbers were still evolving, Venue Crew worked closely with the client through multiple conversations to better understand the purpose of the luncheon, attendee profile, and overall event vision.

Anna shared examples of venues she had used previously, helping guide the venue curation process and clarify the style and atmosphere she was looking for. From these discussions, it became clear that exclusivity, strong design, and a memorable guest experience were key priorities.

QT Melbourne was initially selected due to its moody, artistic feel, standout artwork, and immersive guest experience. However, after a last-minute date change, QT was no longer available. Venue Crew quickly secured The Bossley Private Dining Room at Rydges as an alternative, with the private entrance and exclusive feel making it a perfect fit for the event.
